Who Travels With Us?

People of all ages sign up for Ace Camps - we've had travelers from 16 - 75.  Ace Camps are open to solo travelers as well as small groups of friends and family. Our guests hail from all over the world and such diversity of ages and nationalities makes for an enriching cultural experience and gives the opportunity for us to share creativity from varied sources of inspiration.

Ace Campers are often artists, professionals, chefs, photographers, authors and anyone who is interested in traveling and connecting with people and artisans who share a common interest in learning, travel and culture. Our tours generally attract open-minded travelers. If you are not open to spontaneity, whims of the group or if you prefer unadulterated structure on every minute of your journey, Ace Camps may be not for you. We believe in going with the flow and being open to impromptu experiences creates adventure and a special learning environment. Solo participants must be at least 21 years. Yes, men are most welcome to participate in the workshops!


How do I book an Ace Camp?

  • Find the Ace Camp Travel trip you are interested in and click on the “Learn More” button.

  • Read the Day by Day Itinerary, Rooming Options and Important Trip Notes + Details specific to the trip you would like to attend.

  • Click the button labeled "Book Here" and complete the Booking Form.

    After we review your Booking Form and if it is accepted, we will send you an email with next steps. Once we have reached the minimum number of guests for the trip, we will send you two things: your Registration Form and your Payment invoice. Be sure to check your junk/spam folders!

    ~ The Registration Form helps us collect the information we need to plan the best experience possible for you. 

    ~ The Payment invoice will come in an email from PayPal, our invoicing software.

    The completed Registration Form and Payment are due within 48 hours. Your place on the trip will not be confirmed until we receive both the completed Registration Form and your Payment. If you do not complete the Registration Form or make your Payment within 48 hours, you will forfeit your Booking.

  • Once we receive your completed Registration Form and your Payment, we’ll send you a Confirmation email and your booking will be officially confirmed!

  • If the trip is full and you’d like to be added to the Waitlist, click the “Waitlist Registration Here” link.


How does payment work?

For bookings more than 180 days before the trip start date, your fees will be split into two payments. There will be an initial Payment when you complete your Registration Form and the final Payment due on the date indicated on the individual trip details page or your invoice. For bookings less than 180 days from the trip start date, there will be one Payment for the full price of the trip.
Once we send you an invoice for either the initial or final Payment, you will have 48 hours to complete the payment or your spot on the trip will be offered to someone on the Waitlist and you will be subject to our Cancellation policies as outlined in our Terms and Conditions. Payments are accepted by credit card and all fees are to be paid in US dollars.


When I sign up what's included with the fees?

The inclusions of each Ace Camp Travel Trip are different and dependent on the location, activities, and workshops. You'll find specifics about what is included on the Trip Details Page, in the Trip Highlights, Day by Day Itinerary and the Important Trip Notes + Details sections. Be sure to review the “What’s Not Included” section in the Important Trip Notes + Details.


Do The Trips Include Airfare?

We do not include airfare to and from our trip starting points.


What’s not included?

Each trip may have slightly different items that are not included on the trip so it’s imporant to review the “What’s Not Included” section in the Important Trip Notes + Details for on each Trip Details Page. Generally, we do not include: International roundtrip airfare; required Travel Insurance; alcoholic drinks; activities and food and beverages not included in the trip itinerary; hotel incidentals including room service, spa services, laundry service and hotel bar tabs; and expenses during free time.

Please note, Ace Camps Travel, LLC. requires all guests to have Travel Insurance that includes at a minimum, trip cancellation/disruption insurance; travel medical insurance; and medical evacuation insurance.


Am I required to have Travel Insurance?

Yes, you are required to purchase travel insurance while traveling with Ace Camps Travel.  You are required to purchase a travel insurance policy after making your initial payment (or full payment if you are registering less than 180 days before the Trip start date) that includes the following: i) trip cancellation/disruption insurance that is equal to or higher than the value of the Trip in the event you need to cancel for any reason, including those outlined below in Section 3 or there are Trip Changes (Modifications, Postponements, or Interruptions) or Trip Cancellations as outlined in Section 4; ii) travel medical insurance; and iii) medical evacuation insurance. 

If you fail to obtain travel insurance, you will personally assume full responsibility for any financial loss associated with the cost of your Trip, the cost of your travel arrangements, and any medical-related expenses. For example, you will be personally responsible for any financial losses if: (i) you need to cancel for any reason, including those outlined below in Section 3 or there are Trip Changes (Modifications, Postponements, or Interruptions) or Trip Cancellations as outlined in Section 4; ii) your flight has been canceled and the Trip is nonrefundable; (iii) a hurricane, volcano, or earthquake occurs while traveling and you are stranded; (iv) a terrorist incident occurs at the destination you  planned  on  visiting; (v) you have  a  medical  emergency  and  need  medical  attention  or evacuation; (vi) your bags are lost and your medication is in them, and you need to have an emergency prescription filled; or (vi) your passport and wallet are stolen, and you need emergency cash and a replacement passport. You also agree to assume all costs of medical care, evacuation, transportation, and related costs.

One option for travel insurance is World Nomads, they have been providing protection since 2002. They offer simple and flexible travel insurance for trip cancellation, emergency medical, lost luggage and more.


Do I need a travel visa?

Requirements for travel visas vary widely depending on your nationality and your destination. These requirements differ from country to country and are subject to change. You should plan to contact your government office far enough in advance to have time to gather all required documents and approvals.

You assume full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of your destination and your connecting points, and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination. Many countries require your passport to be valid for six months or more after your date of entry. Some countries will not admit persons convicted of a crime. Some countries require both parents’ consent for minors to travel.


Can I Contact You To Find Out Who Is Going On The Trip?

For privacy reasons we cannot provide you with advance details on your traveling companions. However, our Ace Camps Travel trips appeal to a wide range of travelers, most of whom share an adventurous spirit and are like-minded. If you're interested in connecting others booked on your upcoming trip, we often start a group chat and invite those who want to introduce themselves.


How many guests are on each trip?

We believe it is important to keep groups sizes small so everyone can get to know each other. Our group size is typically 6 - 12 guests.


Will I have any free time?

During our longer travel experiences you may have the flexibility of a free day or two to explore the city you’ve traveled to either on your own, or with your new friends. Your Ace Camps Travel Host can also help provide you with suggestions of what do during your free time.


Can I choose to share a room with someone or to have a room to myself?

Ace Camps Travel strives to find unique accomodations for every trip. As such, the types and number of rooms available will vary. For each of our trips, you'll find the details about rooms and the associated pricing in the "Rooming Options" section of the Trip Details Page. Room types are limited so you'll want to book as early as possible for the best chance at securing your preference.


Can I bring my spouse, partner or friend if they are not taking the workshop? 

This is always a tough question for us as we understand in some cases participants are traveling to other cities and are including the Ace Camp Travel trip as part of their vacation. It depends - if the accommodation is based on double occupancy or we are staying at a house where space is limited it would be best to contact us to discuss. Remember - this is your learning time and sometimes the workshop works best when you venture on your own. We actually don't encourage it - and hope you can meet up with your spouse or travel partner after the Ace Camps Travel Trip.


How Does The Waitlist Work?

When an Ace Camp Travel Trip fills, we start a Waitlist. There is no charge to be on the Waitlist and you can sign up for as many Waitlists as you’d like.

When/If a spot on a trip opens up, we’ll reach out to you and others on the Waitlist with the opportunity to book the trip. We’ll send you our Booking Form, which you will fill out and send back to us. We will review booking requests in the order in which they are received.

If the trip is full when we receive your Booking Form, we’ll keep you on the Waitlist and send you an email to let you know.

  1. Booking Acceptance: After we review your Booking Form and if it is accepted, we will be in touch within the next 48 hours with two things: your Registration Form and your Payment invoice. Be sure to check your junk/spam folders!

    ~ An email accepting your Booking for the trip. This email will include a link to our Registration Form, which helps us collect the information we need to plan the best experience possible for you. 

    ~ An email from PayPal, our invoicing software, with an invoice for your Payment.

    The completed Registration Form and Payment are due within 48 hours. Your place on the trip will not be confirmed until we receive both the completed Registration Form and your Payment. If you do not complete the Registration Form or make your Payment within 48 hours, you will forfeit your Booking.

  2. Booking Confirmation: Once we receive your completed Registration Form and your Payment, we’ll send you a Confirmation email and your booking will be officially confirmed!


What is your Cancellation Policy?

You can find our cancellation policies in the "Cancellation by You" and “Trip Changes, and Cancellations” sections of our Terms and Conditions.


What if I have a dietary concern?

Ace Camps Travel strives to find the freshest food, take you to the coolest restaurants and explore local cuisine with special meals. If you have questions or concerns about a dietary restriction or allergy, please contact us prior to submitting your Booking Form so we can discuss options and limitations. We do our best to cater to dietary restrictions and allergies as long as we are made aware on our Booking Form. Unfortunately, there are a few locations where we cannot manage specific dietary concerns or allergies - on trips where this is the case it will be noted on your Ace Camp Travel Trip Detail Page.


What are your Healthy and Safety policies, including COVID-19?

Our goal is for each of our guests to enjoy the amazing trip we’ve put together.  To ensure that happens, we put the health and safety of the group as our top priority. If you have questions or concerns that aren’t addressed by the information below, please contact us.

For trips with a start date prior to December 31, 2024:
Individual guests are responsible for ensuring they meet all destination and layover country requirements and laws including various Covid-19 related requirements, providing proof of vaccination, testing before or after entry, masking, etc.

To make sure we start the trip with a healthy group, we require all guests to provide a negative COVID rapid test result on the Trip start date before meeting up with the group. If you’re sharing a room, we ask you to test before checking into your room and meeting your roommate. Once you’ve completed your test, you will need to message your result to your Tour Manager, directly via Whatsapp, and to confirm you have no symptoms. We will send specific instructions closer to the Trip start date.

Helpful Tip: You may be asked to take a COVID test during your trip in an effort to keep our group as healthy and safe as possible. If a group member becomes sick during the trip all other guests may need to test regularly throughout the trip to avoid additional spread. Ace Camps Travel does not supply COVID rapid tests, so we suggest bringing extra tests with you, in case you need to test more than once during the trip.

If during the Trip you begin to feel ill or display symptoms of illness, please alert your Tour Manager right away, wear a mask, and keep a safe distance from others until we know more about your situation. Depending on the severity of your symptoms and illness and depending on where the group is staying, we may ask you to isolate in a hotel room or, in the case of a shared group house, we may ask you to move to a hotel or alternative accommodation so we can keep the rest of the group healthy.

If your trip is interrupted or you are unable to participate in all or a portion of the trip due to COVID, an illness or any other reason, we will not provide a refund, as outlined in our Terms and Conditions.  Guests will be responsible for any expenses incurred from an illness, injury or early departure including testing, treatment, isolation, transportation and fees.  This is one of the many reasons we require all guests to have Travel Insurance, as outlined in our Terms and Conditions.

We reserve the right to update our policies as well as our Terms and Conditions at any time, without prior notice so we can ensure the health and safety of our guests.

For trips with a start date after January 1, 2025:

Individual guests are responsible for ensuring they meet all destination and layover country requirements and laws including various Covid-19 related requirements, providing proof of vaccination, testing before or after entry, masking, etc.

During our trip, if you feel unwell, exhibit signs of, or test positive for an illness, you should be prepared to follow the advice of local health authorities as well as the Ace Camps Travel Host to ensure the health and safety of the entire group.  Depending on the severity of your symptoms and/or viral nature of your illness there may be a need to mask, distance, self-isolate, or remove yourself completely from the trip which will be determined by the Ace Camps Travel Host with the best interests of the group health and safety as the main priority.   If your trip is interrupted or you are unable to participate in all or a portion of the trip, we will not provide a refund, as outlined in our Terms and Conditions.  Guests will be responsible for any expenses incurred from an illness, injury or early departure including testing, treatment, isolation, transportation and fees.  This is one of the many reasons we require all guests to have Travel Insurance, as outlined in our Terms and Conditions.
